The Challenge

Build an automated document processing solution

box-tm7-s.gif The high-end IKON scanning solution has what it takes to handle the paper load coming in to this high volume bankruptcy practice. The question is how to effectively get those document records linked in Time Matters without hiring additional staff to process the workload.

The Solution

Abacus Consulting, LLC creates a strategy with the IKON software techs to automate the process using the existing matter information already in Time Matters.

When a document arrives, the matter is identified, and a cover sheet is generated in a few clicks using the Time Matters merge feature and existing matter information. The user is prompted for additional information that will be used to populate the Time Matters document form. This cover page is placed on the incoming document and added to the pre-scanned document collection. Thus the scanning process can be deferred to a later time, and completed as a batch.

When it is time to scan, hundreds of documents can be scanned simultaneously. The IKON software recognizes the cover pages, saves each file as a PDF, and adds a line to a data file containg information regarding the document.

A custom solution developed by Abacus Consulting, LLC automatically processes these PDFs on an automated schedule. The documents are moved to the existing Time Matters document folder structure, and the document record information is automatically imported to Time Matters creating a Time Matters Document Record. A history of document creation is maintained in log files generated by the custom solution.
