Updated Time Matters/Billing Matters Utilities

Abacus Consulting has updated the Org Helper and Description Edit utilities for Time Matters/Billing Matters.  Both utilities are now available for Time Matters/Billing Matters 9.


Org Helper automates the process of copying organization names to the last name field for effective quick-picks. Description Edit allows full screen billing record editing of the description field.

Identify Billed Supporting Records on the Calendar PDF Print E-mail

When you are looking at the Time Matters® calendar, how do you know which records you have sent to Billing Matters™, Timeslips, Tabs, Juris or other linked billing program?

Supporting Records to the Rescue 

The Daily, Weekly and Monthly calendar views all have the ability to show supporting records. It is often desirable to bill these records from the calendar view, however, unlike the Event and Todo records, there is no $ symbol indicating that the supporting record has been billed. This can be easily remedied.

The solution is to include the Bill Date field as the first field for each type of supporting record. If a date is listed for a supporting record, you will know that it has been sent to billing.

To configure the supporting records area properly, click the "options" button in the upper right corner of the calendar. Select the "Multi-Day" tab. In the split view area, make sure that there is a check next to "Supporting Records", then click the "Select Fields" button to the right.

A dialog will open with a tab for each of the Time Matters supporting record types. For each tab, select the Bill Date field from the left side (Available Fields) and click "add" to move it to the right side (Fields to Display). Once Bill Date is on the right side, use the "Up" button to move the Bill Date field to the top of the list. This process must be repeated for each of the supporting record types for which you would like to display a billed date. We suggest doing this for all supporting record types except billing, so that it will be simple to discern that records without any date have not been billed yet.

It is advisable to have a non-date field that is certain to contain information (such as Desc) as the second field for each supporting record type, so that no other date can be confused for the Bill Date field.

Finally, you may want to add the Sent Date field as the first field for the Billing record type. As it is unusual to bill billing records, if you add this field, you will know at a glance which fields have been sent to a linked billing program and when.

It is not necessary to make this change for the Weekly and Monthly calendars, as they share the same field configuration. Just make sure that "Supporting Records" has a check next to it for each calendar type.
